1. Background

The Uganda Manufacturers Association (UMA) is a premier manufacturing membership organization dedicated to promoting the competitiveness of manufacturers and industrialists in Uganda. Since 1994, UMA has annually hosted the Uganda International Trade Fair (UGITF), a significant event that brings together local and international exhibitors to showcase their products and services. To commemorate the 30th anniversary of the fair in October, UMA seeks to engage a reputable and experienced agency to provide comprehensive publicity services.

2. Objective

The primary objective of this engagement is to enhance the visibility and awareness of the 30th Uganda International Trade Fair both locally and internationally, ensuring high attendance and participation from exhibitors, showgoers, and stakeholders.

3. Scope of Work

The selected agency will be responsible for the following tasks:

  • Publicity Campaign Development
  • Develop a comprehensive publicity strategy and plan tailored to the 30th Uganda International Trade Fair.
  • Identify and utilize various media channels (print, broadcast, online, Out-Door and social media) to maximize reach and impact.
  • Media Relations
  • Establish and maintain strong relationships with local and international media outlets.
  • Organize press conferences, media briefings, and press tours.
  • Prepare and distribute press releases, media kits, and other promotional materials.

    (c) Digital Marketing

  • Develop and manage digital marketing campaigns across social media platforms, email marketing, and search engine marketing.
  • Create engaging and shareable content (graphics, videos, articles) to promote the trade fair.
  • Monitor and analyze digital campaign performance, providing regular reports and insights.
  • Advertising
  • Plan and execute advertising campaigns in print, radio, television, Out-Door and online media.
  • Design and produce advertising materials, including banners, posters, and promotional videos.

     (e) Event Promotion:

  • Coordinate with UMA to promote key events, activities, and highlights of the trade fair.
  • Leverage partnerships with sponsors, exhibitors, and other stakeholders to amplify promotional efforts.
  • Public Relations
  • Manage the fair’s public image and handle all communication with the public and stakeholders.
  • Address any issues or crises that may arise, providing timely and effective communication.
  • Monitoring and Evaluation:
  • Track and measure the effectiveness of publicity activities.
  • Provide detailed reports on media coverage, audience engagement, and campaign outcomes.
  • Make recommendations for future improvements based on the evaluation.

4. Deliverables

The agency is expected to deliver the following:

  • A detailed publicity strategy and execution action plan.
  • Regular progress reports on publicity activities.
  • Media coverage reports and clippings.
  • Digital marketing performance reports.
  • A final report summarizing the impact of the publicity campaign and recommendations for future events.

5. Duration

The contract period for the publicity services will commence upon signing the agreement and will conclude one month after the completion of the trade fair, allowing time for final reporting and evaluation.

6. Submission Requirements

Interested bidders should submit the following;

  • Company profile highlighting relevant experience and expertise.
  • Detailed proposal outlining the approach, methodology, and timeline.
  • Budget breakdown for the proposed services.
  • Copies of relevant legal and financial documents.
  • Examples of past work and client testimonials.

7. Evaluation Criteria

Proposals will be evaluated based on the following criteria;

  • Relevant experience and track record in publicity and event promotion.
  • Creativity and innovation in the proposed publicity strategy.
  • Cost-effectiveness of the proposed budget.
  • Ability to meet deadlines and deliver high-quality work.
  • References and client testimonials.
